Meeting Minutes:

  • Review and approve minutes from the October meeting
    • Board approves October meeting minutes
    • Delinquent HOA dues – updates
      • Three remaining residents owe money
      • First resident paid the total amount owed (including penalties)
      • Second resident paid only HOA due amount (not including penalties)
        • Plan:  add the remaining amount owed to 2014 yearly due
  • Third resident refused to pay, amount owed will be added to lien

 

 

  • Proposed list of Covenant changes – updates
    • Board members discussed current language of the HOA documents
    • Board recommendation: include the following documents with upcoming 2014 HOA dues
      • Covenant architecture restriction reminder letter
      • HOA magnet
      • Voting request to change covenant documents to proposed changes
  • Alex is preparing the HOA dues documentation
  • Sidewalks in Pebble Hill
    • No status change – no one returned bids
    • Recommendation:  wait for the spring to request additional bids
    • Halloween parade out brief
      • Very good turn out; approximately 20-30 kids and family showed up
      • Comment:  Perhaps more can be planned for next year
      • Directory update
        • Jean was sick and unable to give feedback with the directory update effort and possibility of using A-Z directory
        • Realtor Michelle Yei could possibly be a sponsor for sending a paper directory
        • Recommendation:  review the remaining budget and see if A-Z directory could potentially be included for next year’s budget
        • Community benches
          • Community requested a rotting bench to be removed; after the bench was removed, the request was made to replace the removed bench
          • Recommendation:  make community benches a topic at the annual meeting
            • Approximately 6 benches would be needed
            • We could potentially have people sponsor benches
            • HOA Budget audit
              • Doug found another person who may audit the books
              • Audit of HOA budget is required under the HOA covenants
              • Options available for audit:
                • Pay someone (cost is very high $2,000-$4,000 for a few line items)
                • Form an audit committee
                • Find someone to do it for free
  • Recommendation: Board to determine if Douglas’ recommendation is a viable option
  • Committee reports
    • Finance
      • Summary
        • 11,800 remain in checking
        • 150,000 in savings
        • 1,584 in receivable
  • Maintenance
    • Crisafulli matter is closed
    • Doug worked with Vickey to identify and remove remaining dangerous trees
    • Pine trees
      • Trim or remove
      • Steve and Doug to ask if people would want to have the two pine trees removed
      • After tree opinion, determine package cost of trim and possible tree removal
      • Fences
        • Some fences around the neighborhood are on private property and some are on HOA property
        • Need to have a protocol on what to do with the fences
        • Recommendation:  Fence committee to meet again
  • Architecture Committee
    • Nothing to report
    • Remaining old business
      • Magnets:  Leslie has an updated image for the group—new image will be used for our HOA magnets
      • New business
        • Start planning for next year’s budget (2014)
        • People outside of the community using our paths
